Summary:
Contributes to the efficient daily operation of the Human Resources Department by performing a variety of secretarial and administrative duties.
Maintains confidentiality and professionalism in all interactions with internal and external customers.
Honors and represents the mission, vision, values of CIT and of the HR department.

Essential Duties &
Responsibilities:
Opens and closes consistently HR Offices in a timely fashion according to established policies and procedures.
Establishes and maintains an effective filing and retrieval system of HR files, communication and information.
Answers incoming telephone calls, determines purpose of calls, and forwards calls to appropriate personnel or department, ensuring professional telephone etiquette.
Receives, sorts, logs, and routes mail and packages.
Greets internal and external customers and visitors; determines nature of business, answers questions, and directs to appropriate personnel.
Assists employees by checking out vehicles and keys as needed.
Coordinates and sets up interviews, schedules attendees and conference rooms.
Manages and sorts all incoming resumes; contacting supervisors; updating recruiting spreadsheet; maintains and operates office machines, equipment, and computers; performs or coordinates general maintenance and repair.
Orders and maintains inventory of office supplies; photocopies, collates, distributes, and files documents.
Transmits outgoing faxes, and retrieves, logs, and distributes incoming faxes.
Communicates with staff, clients, and co-workers to answer questions, disseminate or explain information.
Generates and tracks purchase orders for the timely and accurate payment to vendors.
Uploads travel and expense receipts for HR Department, COO, and Legal Department.
Maintains confidentiality regarding staff, clients, personnel records, and other confidential information.
Monitors incoming email and distributes to appropriate staff.
Cleans and maintains the reception area.
Establishes, maintains, and updates files, databases, records, and/or other documents.
Maintains strict confidentiality and presents a positive, professional demeanor and image at all times.
Manages special projects as assigned by the HR Director and provides additional support to the HR team.
Supports Enrollment, the Executive Assistants, COO, and Chairman, as necessary.
Contributes to a team effort and accomplishes related results as required.
Performs other duties as assigned.
Knowledge, Skills, and Abilities:
Knowledge of traditional form of government and tribal customs and traditions.
Knowledge of business English, proper spelling, grammar, punctuation, and basic arithmetic.
Knowledge of office functions, procedures, and policies.
Skill in operating various word-processing, spreadsheet and database software programs in a Windows environment.
Skill in treating internal and external customers with tact, courtesy, and respect; responds well and is welcoming in social settings.
Ability to maintain confidentiality.
Ability to interact and maintain good working relationships with individuals of varying social and cultural backgrounds.
Ability to communicate efficiently and effectively both verbally and in writing.
Ability to handle multiple tasks, be flexible and meet deadlines.
Ability to exercise independent judgment.
Ability to learn quickly, retain information and follow through.
Ability to work independently.
Ability to be dependable, consistently, on-time and work in an office setting with members of the community.
Minimum
Qualifications:
High School Diploma/GED.
Two years experience working in an office setting; HR or executive reception work.
Valid driver's license is required when driving vehicles for work-related purposes.
Must be able to successfully pass a background screening / investigation according to the established requirements below.
Tribal preference in accordance with Cowlitz Indian Tribe Code and CIT Employee Policies and Procedures Handbook shall apply to all positions.
All positions are required to adhere to CIT's established safety policies regarding vaccine requirements and personal protective equipment (PPE).
Background Investigation Requirements:
Pre-employment drug screen.
Reference checks, education and employment verification.
Federal, state, and/or tribal criminal history and sanction checks.
Physical Demands:
While performing the duties of this job, the employee regularly is required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands or arms; and talk or hear.
The employee occasionally is required to climb or balance; stoop, kneel, or crouch.
The employee is occasionally required to lift up to 20lbs.
Specific vision abilities required by this job include close vision and clarity of vision at long distance.
Work Environment:
Work is generally performed in an office setting with a moderate noise level.
Situations occur where PPE (personal protective equipment) is needed.
Evening and/or weekend work may be required.
Tight time constraints and multiple demands are common.
Travel may be required for training, meetings, conferences, presentations, and other events.

The check will bounce and the victim is left responsible.
